PDF Rejected by an Online Form? 9 Common Causes and Fixes
You've filled the whole application, and at the last step the portal says “Invalid file” or “File size exceeds limit”. It happens to everyone. Almost every rejection comes from one of the causes below — work through them in order.
1. The file is too big
This is the most common reason. Read the exact limit on the form (for example “max 100 KB”) and compress to just under it. Use Compress PDF and set the target size — there are ready pages for 50 KB, 100 KB, 200 KB, 300 KB and 500 KB. Note that 1 MB is 1,024 KB, and some sites count 1 MB as 1,000 KB — aim a little below the limit.
2. The file is too small
Some portals also have a minimum size (for example “between 20 KB and 100 KB”) to block blank uploads. If you compressed too hard, convert again with a higher setting.
3. It's a photo, not a PDF (or the other way round)
A file named document.pdf.jpg is still a JPG. Check what the form wants. Photos → PDF: Image to PDF. PDF → photo: PDF to JPG. iPhone HEIC photos are often rejected — convert them with HEIC to PDF.
4. The form wants one file, you have several
If the portal has a single upload box for “all documents”, combine them in the right order with Merge PDF. Photos can be combined straight into one PDF with Image to PDF.
5. The PDF is password-protected
Bank statements and some downloaded documents are locked with a password, and portals can't read them. Open the PDF with its password and use “Print → Save as PDF” to create an unlocked copy, then upload that.
6. Pages are sideways or upside down
Scans from phones are often rotated. Reviewers may reject unreadable documents later even if the upload works. Fix them with Rotate PDF.
7. Extra or blank pages
Blank backs of scanned pages waste your size budget. Remove them with Delete PDF pages, or keep only what's needed with Extract pages.
8. The file name has odd characters
Some older portals fail on names with spaces, brackets, emoji or Hindi characters. Rename the file to something simple like marksheet_10th.pdf — letters, numbers, underscores only.
9. It's the browser, not the file
If everything above checks out, the portal itself may be struggling. Try another browser (Chrome or Edge on a computer usually works best), clear the page and try again, or upload outside peak hours near the deadline.
Quick checklist before you upload
- Correct type (PDF or JPG, as asked)
- Below the maximum size — and above any minimum
- One file if the form asks for one
- No password
- Pages upright and readable
- Simple file name
Frequently asked questions
Why does the form say my 95 KB file is too large for a 100 KB limit?
Some systems measure in thousands of bytes rather than 1,024, or add a little overhead. Compress to around 90 KB to be safe.
How do I check a file's size on my phone?
On Android, open the Files app, long-press the file and tap Info or Details. On iPhone, open the Files app, long-press the file and tap Get Info.
Will compressing make my document unreadable?
Not if you compress to the size you need. One- or two-page documents stay clear even at 100 KB.
